Enquiry qualification and site document retrieval

A property and construction firm loses enquiries because they arrive in the evening and get answered the next afternoon. Meanwhile the project side has drawings, specifications and variation notes spread across drives and chat threads, and finding the current version takes longer than reading it.

What we built

  • An enquiry agent that responds immediately, qualifies budget, location and timing, and books a viewing or a call into the sales calendar
  • Enquiry records written into the existing pipeline with the conversation attached, so nothing is re entered by hand
  • A retrieval layer over project documents, with access respected per project and per role
  • Answers that quote the source drawing or clause underneath, and a refusal path when the document set does not contain the answer
  • A pipeline that keeps the index current as revisions are issued, so the newest version is the one returned

What it showed

The proof of concept answered and qualified enquiries outside office hours, and on the project side returned the governing clause or drawing with the source visible so it could be checked rather than trusted.

What a live engagement needs

Going live needs the qualification criteria the sales team actually applies, access to the document store with its permission structure intact, and a set of real questions to measure retrieval accuracy against.
