Document intake including handwritten notes

A consulting and accounting practice receives client material as scanned PDFs, phone photographs of paperwork and handwritten notes from site visits. Somebody reads each one and retypes the important values into a working file, which is slow and quietly error prone.

What we built

  • Intake accepting PDFs, Word files, scans, photographs and handwritten pages
  • Extraction of the fields that matter, with every value traced back to the exact place on the page it came from
  • Validation of formats, totals and required fields before anything is written anywhere
  • A review queue showing only the low confidence values, with the original page beside the extracted figure
  • Structured output written into the practice's working system or exported as clean records

What it showed

In the proof of concept clean documents passed straight through, and reviewers spent their time only on the pages the system flagged rather than reading every file from the start.

What a live engagement needs

A first engagement needs a representative sample including the worst handwriting, the target record structure, and a confidence threshold the practice is comfortable signing off.
