Admissions and student query desk

During the admission season the enquiry number rings all day with the same questions about fees, eligibility, cut off dates, hostel facilities and course structure. Calls are missed in the evening and at weekends, which is exactly when parents call, and each missed call is a family that phones the next college instead.

What we built

  • A voice and chat assistant on the enquiry number answering fees, eligibility, dates, hostel and course questions from the institution's own prospectus rather than a generic model
  • Natural handling of English and Malayalam, including switching between them mid sentence
  • Campus visits and counselling calls booked into the real calendar during the conversation
  • Enquiry details written into the admissions record with the transcript attached, so nothing is re entered
  • Handover to a counsellor for anything about scholarships, special cases or complaints, with the context already on screen
  • A refusal path so the assistant says it will check rather than inventing a fee or a date

What it showed

In the proof of concept the routine admission questions were answered instantly at any hour, visits were booked without a person involved, and everything unusual reached a counsellor with the conversation already attached.

What a live engagement needs

Going live needs the current prospectus and fee structure as the single source of truth, the counselling calendar, and a fortnight of supervised calls before the published number is switched over.
